Automations

eSignatureOffice enables PDF/A documents to be viewed and signed. In addition, form fields can be filled in and saved in eSignatureOffice. eSignatureOffice enables maximum security through double asymmetric encryption and also supports the use of the highly secure StepOver naturaSign and duraSign signature pad series with pad-internal linking of the captured signature to the document and pad-internal RSA encryption of the biometric data.

eSignatureOffice can also be called from your web application via a so-called link handler. In addition, eSignatureOffice supports the http(s) and FTP – download of documents (PDF/A files) and the desired control files (e.g. configuration data and signature templates) as well as the data transfer (upload) via FTP and http(s).

The intelligent signature templates help you automatically capture signatures and insert them in the right place in your electronic document. This works even with dynamically generated documents, where the positions of the signature fields change with the document length. The positions of the signature fields can either be determined via keywords in the text (e.g. always below the word “signature”) or PDF signature fields already in the document can be accessed.

It is often necessary for the signed PDF/A document to be given a name after signing, which is partly derived from the contents of the document (e.g. order number and customer name). Intelligent file renaming can automatically search the PDF/A document for keywords (e.g. “order no.”) and transfer subsequent words or characters (e.g. the numeric order number) to the final file name of the signed PDF/A document. Intelligent renaming can also be combined with a signature template to create a fully automated signature workflow in which the user is guided from signature field to signature field and only needs to sign.

After signing in eSignatureOffice, the document can be automatically forwarded in the customer’s internal processing chain. Numerous options are thus available for integration into existing workflows. However, a flexible application must not only demonstrate technical adaptability, but also functional and visual adaptability. Buttons and functions that should not be made available to the user can be locked and hidden by the administrator, even the design of the software can be changed. These individual settings and many more can then be exported to a configuration file (*.scs – file) and imported to any number of clients.
